To manage overall service operations, continually driving service quality of resources & efficient services provided to ship-owners, charterers, ship masters, terminals, shippers, receivers, relevant authorities & service providers within designated ports and Oman geography


This position reports to the Ships Agency Operations Manager

Formal authorities

This position has the authority to act within this functional description as overall responsible for the port and site operations

Main responsibilities

  • Overall responsible for the port and site operations ensuring highest service quality including effective management of risks, revenues, and related margins
  • Overall Ships Agency QHSSE compliance within assigned location/s and use of Take-5, ELog, PowerBI, Salesforce & E-Learnings as appropriate
  • Ensure that Ships Agency performance and service quality is always conducted according to Standard Operating Procedures (SOP) and operating governances
  • Overall responsible for supporting and ultimately driving the collection of receivables
  • Ensure efficient and competent resources are appointed at port location(s) with allocated budgets
  • Ensure sustained profitable port operations with persistent focus to increasing revenue, whilst driving efficiencies to control costs
  • Ensure correct amount of pre-funding is received, or the correct level of authority has approved any deviation, prior to performing the port call, in line with the Chart of Authority. Same to be ensured when additional funding required prior vessel’s sailing
  • Ensure DA is competitive, dispatched on time and accurately reflect the true port costs
  • Ensure procedures relevant to Disbursement Accounts production are implemented and optimised
  • Ensure evaluation of vendors and suppliers atleast once annually ensuring compliance with WSS procurement governance and reported within relevant systems
  • Pro-actively identify new means of achieving cost savings, including vendor discounts using Vendor/Supplier Management system on behalf of the company and principal
  • Actively identify new business and sales opportunities in the territory/country and work with Ships Agency sales to promote local ports towards customers
  • Ensure provision of 24-backup communications where needed
  • Ensure onboarding and regular training is conducted for all employees
  • Ensure In Country Value (ICV) targets met and local talent improvement and career progression is focussed

Key Performance Indicators KPI’s : YoY improvement of 15% growth target in revenue and margins

Port Sales & EBIT contribution to assigned geography Compliance level to 100% adherence to SA-SOO & WSS SA- Business Standards & Processes Compliance with the ISO 9001 and OHSAS 18001 standards, Take 5, E-Log, Improvement Potentials(IP) Service Quality Level (Customer satisfaction/ IP response effectiveness/Blue Pennant/Salesforce) AR > credit time to assigned geography

  • Post Graduate certification within Maritime or Business management field, or commensurate work experiences compensating for formal education
  • Min. 7 years hands-on supervisory experience in Agency Operations- Port Agency & Maritime Logistics
  • Computer literate with good command of the English language (oral and written) communication
  • Familiar with Local Port Authority regulations, procedures, and governing tariffs
  • Ability to effectively lead a team and ensure effective resource, revenue and risk management
  • Ability to motivate team for customer and business development driven service approach
  • Ability to multitask and organise under pressure without compromising safety of stakeholders involved
  • Strong mentoring and customer relationship skills
  • Self-motivated and result orientated with good cost awareness and control

Additional preferences – (Local requirements in addition to mandatory requirements)

  • An understanding of the regions market as a key driver for achieving business growth and efficiencies. Oman experience is most preferrable
  • Good communication skills and command of the Arabic language (oral and written)
  • Valid Oman and/or GCC Driving Licence
  • Knowledge of QHHSE & Finance
